This privacy statement explains how I, Zoe Hilbert of A Deeper Sense – Counselling & Psychotherapy (herein “ADSCP” or “us” or “we”) uses and protects any information (personal data*) that you give to me when using this website or making a service enquiry. * Personal data - meaning any information relating to an identifiable person who can be directly or indirectly identified in particular by reference to an identifier. I am committed to ensuring that your privacy is protected. You may provide personal data by which you can be identified when using this website, telephone, email and face-to-face enquires or engaging in ADSCP services this statement explains what happens with this information and how it processed by me.

15 Minute Calls and events are booked in using a separate booking host called Calendly - please view their Privacy and Cookie information before submitting your form at https://calendly.com/privacy if you do not agree with their Calendly policy then please do not access or use their Website.

How long will I retain your data?

 

Initial contact -  When you contact me with an enquiry about my counselling or supervision services, I will collect information to help me satisfy your enquiry.

 

This will include your name, address, email address, telephone number and GP address. If you decide not to proceed, I will ensure all your personal data is deleted within one month, unless otherwise agreed. If you would like me to delete this information sooner, just let me know.

After counselling has ended - Once counselling has ended your records will be kept for 5 years from the end of our contact with each other and are then securely destroyed.


Information I May Collect

You may give me some or all of the following personal and non-personal data by using this website, filling in forms on my site, by corresponding with me by phone, e-mail or otherwise. I may also receive information about you from other sources, such as referred by EAPs or other third parties, Google Analytics, Social Media or if you use any of the other services I provide, either now are in the future, for example commenting on a blog, attending CPD workshops and/or groups I facilitate.

  • Your first name or given name, your surname or family name, address, phone number, email address GP info and any other contact details you provide to me.

  • Records of any correspondence when you contact me

  • Further information given in any enquiry you make such as location, preferences and interests

  • financial information, including bank account details

With regard to each of your visits to my website, I may automatically collect the following information:

  • technical information, including the Internet protocol (IP) address used to connect your computer to the Internet, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform;

Personal information submitted to me via this website, (including ADSCP telephone or email) will be used for the purposes specified in this privacy policy or in relevant parts of the website.

I may use your personal information to:

  • send to you marketing communications relating to this business which we think may be of interest to you by post or, where you have specifically agreed to this, by email or similar technology (you can inform me at any time if you no longer require marketing communications);

  • to carry out my obligations arising from any contracts entered into between you and me;

  • to provide you with the information that you have requested via social media private message, phone, email or text;

  • contact you about A Deeper Sense – Counselling & Psychotherapy events, offers and opportunities available from ADSCP by email, online or phone (where you have indicated you are happy to hear about these);

  • to notify you about changes to my service;

  • to administer my site and for internal operations, including troubleshooting, data analysis, testing, research, statistical and survey purposes;

  • to improve my site to ensure that content is presented in the most effective manner for you and for your computer;

  • to operate my business efficiently including financial records;

  • I may also use aggregated non-personal user data to analyse information such as where in the UK website users come from, what type of questions they're asking, and whether I was able to give them information or advice that was useful.

  • Contracting and ensuring the terms found in the contract are upheld by both parties.

  • In case of emergencies or where disclosure might be necessary – I will contact your GP or emergency contact, with your knowledge and consent UNLESS it is a case of terrorism, The child act, money laundering, which by law I must report without the need for consent.

  • Information I receive from other sources.

  • This might only be the case when referred by EAPs or other third parties. The data will be handled safely as above.

Disclosure of your information

 My practice is based in the UK and therefore subject to UK Law.

 

Confidentially is essential in a therapeutic relationship, and, as a counsellor in private practice, I am not usually required by UK Law to tell anyone anything that you tell me in our sessions. There are however a few exceptions to this, such as The Terrorism Act, Proceeds of Crime, Road Traffic Act and The Children Act.

 

I will treat what you discuss as confidential, however there are certain limits and circumstances I may be under a legal or ethical duty to break confidentially. Confidentiality may be broken if:-

You or others are, in the opinion of the therapist, seem to be in danger or at serious risk of being harmed. This may include contacting your GP.

The client infers involvement in or knowledge of an act of terrorism or of money laundering

The client infers knowledge of or involvement in drugs trafficking and human trafficking

The client infers knowledge of or involvement in behaviours that may, in the therapists opinion, lead to harm or neglect to children and vulnerable adults.

When instructed by a court of law to disclose information (following written request and following appropriate process)

 

I believe Zoom has a high level of encryption and its own Privacy Policy  https://zoom.us/privacy which you will have read and agreed to when you signed up to use their service. It is advisable if you are using remote connection such as WiFi, to check with the provider that this is secure. I use an email address from outlook they have their own privacy policy Microsoft Privacy Statement – Microsoft privacy  - you may want to set up a secure email. I cannot guarantee that using ‘Zoom’ , 'Outlook' or other technologies will not have additional limits to confidentiality. When using social media or app’s like zoom, I may receive some personally identifiable data about you, which is supplied by the channel you are using. This may include: Name, images (e.g. your profile picture).

As part of my work I have regular supervision – any cases brought to supervision/supervisor are anonymised by either aliases, initials or codes.


Information security

I recognise that the information you provide may be sensitive and I will respect your confidentiality. Your details will be stored and kept securely and confidentially in a safe filing system (in a locked safe). I will make every effort to ensure that your personal information is held securely and to safeguard against unauthorised access to your personal information.

Unfortunately, no data transmission over the Internet can be guaranteed to be 100% secure. I strive to protect your personal information after I have received it, however you acknowledge that the privacy of your communications and personal information can never be completely guaranteed when it is being transmitted.

I will retain your personal data for as long as is necessary for the required service to be provided to you. As stated above.  All retained personal data is subject to the controls of our data protection policy and will be securely disposed of (shredded) when it is considered to be of no further use.

Your rights

  • You have the right to rectification, you can make a request for amendments to the personal information I hold about you that is inaccurate or out-of-date;

  • You can access your personal data (subject access requests) and request confirmation that your data is being processed. You must verify your identity. I will respond to your request within one month of receipt.

  • If you wish to have your personal information deleted, please let me know and I will take reasonable steps to delete it (unless I need to keep it for legal, auditing or internal risk management reasons).

  • You have the right to object to me using your personal data for particular purposes; and

  • Rights with respect to automated decision making and profiling.
